Information you give us
A callback request includes the name and contact details you provide, an optional vehicle registration, your service enquiry and preferred callback time. We also receive information you choose to send by email or give us by telephone. Please do not send payment information, identity documents or other sensitive information through the callback form.
Why we use it
- To respond to your enquiry, return your call and discuss requested services. Where you are asking us to take steps towards a service contract with you, we rely on those pre-contract steps. For enquiries made on behalf of a business, we rely on our legitimate interests in handling business enquiries and providing customer support.
- To operate and protect the website, investigate faults and prevent misuse. We rely on our legitimate interests in maintaining a functioning, secure website.
- To meet an applicable legal obligation or deal with legal claims, where necessary.
Sending an enquiry does not subscribe you to a marketing list. You can call or email instead of using the form. Without suitable contact details, we may not be able to respond.
Website information and cookies
Our website and hosting systems may process technical information such as IP address, browser information, page address, date and time, and security logs. The callback form records your submission in WordPress and sends a notification to the workshop mailbox. Complianz stores your cookie choices. We have not enabled analytics or advertising tracking as part of this setup.

Who can access your information
Enquiries are available to authorised Fleetcare staff and service providers that help operate our hosting, email, website and backups. We use IONOS web hosting. We do not publish callback submissions on the website. If a request needs a specialist partner, we will discuss the arrangements before passing the enquiry to that partner, unless another lawful requirement applies.
Service providers may process information in the countries where their systems operate. Where a restricted international transfer is necessary, the applicable safeguards must be used. Contact us for information about the providers and safeguards relevant to your enquiry.
How long information is kept
We keep enquiry information for as long as needed to respond, manage relevant follow-up and resolve any resulting issues. If an enquiry becomes a booking, necessary information may form part of the service record. Retention depends on the purpose, whether an enquiry remains active, and any applicable legal or claims requirements. Website logs and backup copies follow the relevant provider’s retention and replacement cycles. Contact us if you need the retention details for a particular record or wish to request deletion.
